What Information Should Engineers Send to a Manufacturer’s Rep?

When engineers reach out to us, it’s usually because they need answers quickly — equipment selection, budget pricing, layout confirmation, or help solving a design challenge.

But one of the biggest causes of delays, rework, and frustration on both sides is missing or incomplete information. The more complete the initial request, the faster and more accurate the response will be.

For engineers working on commercial and institutional HVAC projects — especially in the Midwest — here’s what to include when contacting a manufacturer’s rep to keep projects moving efficiently.


Why This Matters

Manufacturer’s reps aren’t just order takers. A good rep helps with:

  • Equipment sizing and selection

  • Budgeting and value engineering

  • Code and application guidance

  • Lead time awareness

  • Constructability considerations

Providing the right information upfront allows reps to deliver accurate selections instead of assumptions, which saves time later in the project.


Start with the Basics (Every Time)

Even on early-stage projects, these fundamentals are essential:

  • Project name and location

  • Building type (school, hospital, office, industrial, etc.)

  • New construction or retrofit

  • Design phase (concept, SD, DD, CD, bid)

  • Target schedule or bid date

This context helps reps understand the level of detail and urgency required.


Share the Application, Not Just the Equipment Type

Rather than saying, “I need a boiler,” explain what the system needs to do.

Helpful details include:

  • Heating, cooling, or combined application

  • Central plant or decentralized system

  • Redundancy requirements

  • Variable flow vs constant flow

  • Future expansion plans

Sharing this early helps ensure compatibility and avoids control redesign later.

Engineers are sometimes hesitant to share budget targets, but even a range is incredibly helpful.

Knowing whether a project is:

  • Focused on lifecycle cost

Allows reps to recommend appropriate solutions, not just the most robust or most basic option.
